Bring the last appointment back into the conversation
A short technical note can be more useful than a general label such as 'usual cut'. Ask for the dated note attached to the right client reference, then confirm the details with the person in the chair before using them again.
If two notes disagree, show both with their dates. A barber can ask which result the client liked instead of having the assistant guess from a photo or treat the newest entry as automatically correct.
Include walk-ins in the day's figures
A booking list and a payment list answer different questions. A walk-in can be served and paid without an online appointment, so compare the transactions with your own record of the day's services and flag anything unmatched.
For weekly commission, give the assistant the agreed rates and the period to which they apply, along with attributed sales, tips and approved adjustments. A disputed split stays visible for the owner to settle before the amount is approved.
Keep the counter supplied and the paperwork relevant
A current count, the product variant and your minimum stock level make it possible to prepare a replenishment list. Compare the delivery against the approved order when it arrives; an unexpected variant or quantity needs a person to check it.
A form is not needed for every haircut. If your shop requires one for a particular service, use your own service-to-form list and ask for the missing item through your chosen process.
Work you can get help with
Illustrative scenario using sample information.
Recall the previous cut
Find and summarise the dated technical note for a returning client so the barber can confirm or change the details together with them.
- What you provide
- Client reference, dated haircut notes and any preferences recorded from previous visits.
- The useful result
- A concise account of the last recorded cut, including its date and any conflicting notes.
- When the task is complete
- The barber and client confirm or correct today's instruction; until then the question remains open.
- What still needs checking
- If the record or client match is unclear, ask the client; do not infer a haircut from a photo.
Reconcile walk-ins at close
Compare recorded services and payments for the day, including walk-ins, and prepare a list of transactions that need a second look.
- What you provide
- Transaction date and reference, amount, payment method, staff attribution, booking or walk-in status, and recorded adjustments.
- The useful result
- Matched entries and a separate list of unexplained differences.
- When the task is complete
- The owner checks each transaction, matches it to a sale or records an approved correction for any difference.
- What still needs checking
- An unclear tip split, refund or tax question goes to the owner; the assistant does not alter the books.
Prepare a stock replenishment list
Compare a recent approved count with your minimum and existing orders. Prepare a purchase list, then compare the delivery with the order you actually placed.
- What you provide
- Product code and unit, dated count, minimum level, approved supplier, open orders and received quantities.
- The useful result
- A proposed replenishment and, later, a delivery comparison with differences marked.
- When the task is complete
- The delivery is received and counted against the approved order. A shortage or incorrect product stays open for review.
- What still needs checking
- A stale count, unclear variant or new supplier needs review; a person approves any new purchase.
Check each barber's commission
Prepare a weekly breakdown from completed sales and the rates your shop has agreed, keeping returns, tips and corrections traceable.
- What you provide
- Period, sales by barber, agreed rates and effective dates, tips, refunds and documented adjustments.
- The useful result
- A draft breakdown by person with uncertain lines identified.
- When the task is complete
- The owner confirms the sales, rates and adjustments and approves the commission breakdown. Any payout follows the shop's payroll process.
- What still needs checking
- Resolve a missing rate, contested split or payroll question before approving that line; no payout is made.
Find a form required for a service
Compare the service booked with the form your shop requires for that service and prepare a request if the recorded status is incomplete.
- What you provide
- Appointment and service reference, required form version, completion status and approved contact wording.
- The useful result
- The missing administrative item and a draft request for the team.
- When the task is complete
- The form is complete when the shop confirms the required information or signature has been received; unanswered requests remain open for staff.
- What still needs checking
- The shop checks the recipient and permission to contact; the assistant does not sign for the client or decide a legal question.
Questions you may have
What if the client wants something different today?
The previous note is a starting point for the conversation. Confirm today's preference with the client and record the new instruction if the shop is permitted to keep it.
Can a walk-in be included without a booking?
Yes, if you provide the service and payment details needed to identify the transaction. An entry that cannot be matched should remain visible for the owner to check.
Does it calculate what I owe each barber?
It can prepare a breakdown using the sales, rates and adjustments supplied. You still need to check exceptions and use your normal payroll process for any payment.
