Check the work the quote describes

Confirm the customer, deliverables, quantities, units, exclusions and revision limits against the source your business treats as authoritative. A line that sounds close can still promise two deliverables when the agreed brief names one.

If the source is unclear, ask the account owner before adding a more specific promise. Keep a link to the relevant proposal, order note or confirmed change beside the check.

Check the numbers, dates and conditions

Compare each price with the approved price-list version. Check the currency, quantity, billing period and arithmetic. If the quote includes a discount, locate the decision that covers this quote and its terms.

Check the validity period, payment schedule and delivery date. A proposed date remains a proposal until the person responsible for capacity confirms it. For each other promise, note the owner and any condition that must happen first.

  1. Identify the approved scope and price sources.
  2. Compare each material line and record the evidence or question.
  3. Keep the quote in draft until the responsible reviewer clears required holds.

Why the fictional Oakfield quote stays in draft

Oakfield Studio and quote Q-1042 are fictional. The quote lists two landing pages, while the approved brief lists one. Its USD 2,400 price matches the sample price list, but a five percent reduction has no recorded approval and the proposed delivery date has no capacity confirmation.

The team needs to correct or resolve the scope, remove or approve the reduction, and confirm the date before sending. The original checklist preserves the sample payment terms and all five checks.

Make the final review traceable

Use simple outcomes such as verified, needs clarification and not applicable. Beside a verified item, record the source. For a hold, name the person who will resolve it and the question they need to answer.

Record who completed the review and when. If the quote changes afterward, repeat the checks for the changed lines; the earlier review does not cover a new price, date or scope.

Prepare the preflight with Areinum

Give Areinum Assistant the draft quote and relevant references, then ask for a comparison and a list of missing decisions. A responsible reviewer checks the comparison and decides when the quote is ready to send.

  1. Use one row per check item and make the quote ID easy to match to the document.
  2. Choose verified only when the quote and cited reference agree. Use needs clarification when evidence or authority is missing.
  3. Hold the quote while a required check remains unresolved. Do not treat silence as approval.
  4. All customers, prices, quote values, and dates are fictional.

Limits of this method

  • The selected research class is H. The source documents an adjacent quote approval mechanism, while this completeness checklist is an editorial method.
  • A source reference can show what was agreed, but it does not replace the person authorized to resolve conflicting scope or pricing.
  • No legal or tax review is provided. The checklist is an operational cross-check, not professional advice.

Questions you may have

Can I send the quote while a discount approval is pending?

Keep the affected quote in draft until the required decision is recorded, or remove the unapproved discount.

What if the delivery date is only an estimate?

Describe it as an estimate and confirm capacity before presenting it as a commitment.

Do I need to repeat the whole check after an edit?

At least recheck the changed lines and any terms affected by them. Record the new review against the revised quote.
