Separate requirements from preferences
Use the client's confirmed brief and distinguish essential criteria from preferences where the client has done so. An exploratory comment should not become a new filter by default. Keep unanswered questions visible before the search team relies on the brief.
Record the effect of a change
Record which requirement in the vacancy brief changed, when it was approved and which earlier candidate conversations used the previous version.
Prepare consistent communication
Draft the factual update needed by people already involved in the process, using the client's approved wording. Keep internal deliberation separate from candidate-facing facts. A prepared update is not evidence that everyone received it.
