Use the technician's approved wording
Keep the instruction version and the job it applies to. The office can prepare a covering message around that exact wording, with the agreed appointment and contact details. Do not let a summary omit a precaution or turn a customer's question into confirmation that the preparation is complete.
Separate access from preparation
A customer may confirm that someone will be home without confirming the requested preparation. Track those as separate fields. If either is unknown, make the missing confirmation visible to the dispatcher instead of labelling the whole visit ready.
Keep a return request in context
When a customer reports pest activity after a visit, pull the original job record, treatment date, service terms and new report into one brief so your team can decide the follow-up.

Questions you may have
Can the assistant write preparation instructions?
Use wording approved for the job by the responsible professional. The assistant should not invent chemical, treatment or re-entry advice.
Does a sent message show that the customer read it?
No. Keep sending, receipt and the customer's actual confirmation distinct.

Pest control: the provider's preparation form records that the inspector supplied the list and addressed questions, the customer acknowledged receipt, and the technician acknowledged preparation; it also has a space to explain a missing signature.
An example for one provider's initial cockroach service only; its treatment instructions are not transferable guidance and the form does not prove an actual customer received it.
