# AI for pest control: keep visit instructions and customer responses together

Your technician has supplied preparation instructions, but the customer's reply refers to an earlier appointment. Before treating the visit as ready, the office needs to know which instructions reached the customer and which questions remain open.
Reception needs to know whether the customer confirmed preparation, access or both. AI can compare the reply with the technician's approved instructions and draft the specific follow-up. Treatment and precautions remain the technician's decision.

## Illustrative example (fictional)

The owner's request: Has this customer confirmed preparation?

Information provided:
- Fictional job PC-2: instruction version 3 sent for Thursday.
- The reply says only that a neighbour will provide access.

Example result: The reply gives an access arrangement but does not confirm preparation, which needs a separate check.

The next step: The office obtains the missing response and asks the technician to handle any treatment question.

## Use the technician's approved wording

Keep the instruction version and the job it applies to. The office can prepare a covering message around that exact wording, with the agreed appointment and contact details. Do not let a summary omit a precaution or turn a customer's question into confirmation that the preparation is complete.

## Separate access from preparation

A customer may confirm that someone will be home without confirming the requested preparation. Track those as separate fields. If either is unknown, make the missing confirmation visible to the dispatcher instead of labelling the whole visit ready.

## Keep a return request in context

When a customer reports pest activity after a visit, pull the original job record, treatment date, service terms and new report into one brief so your team can decide the follow-up.

## Work you can get help with

Illustrative scenario using sample information.

### Use the technician's approved wording

What you provide: Approved instructions, version, appointment, customer contact status and any recorded questions and response statuses.
The useful result: A dated instruction packet and list of unanswered questions.
When the task is complete: The office records the actual response and refers technical questions to the technician.

### Separate access from preparation

What you provide: Access arrangement and separate preparation confirmations.
The useful result: A readiness summary distinguishing access, preparation and unknown status.
When the task is complete: The responsible technician or dispatcher decides whether the visit can proceed.

### Keep a return request in context

What you provide: Visit record, customer report and supplied service terms.
The useful result: A follow-up brief for the person deciding the response.
When the task is complete: The team records the agreed next action and who owns it.

## Questions you may have

### Can the assistant write preparation instructions?

Use wording approved for the job by the responsible professional. The assistant should not invent chemical, treatment or re-entry advice.

### Does a sent message show that the customer read it?

No. Keep sending, receipt and the customer's actual confirmation distinct.

- [Preparation Guide for Our Cockroach Initial Service | Rose Pest Solutions](https://www.rosepestcontrol.com/wp-content/uploads/2022/05/Cockroach-Prep-RPS.pdf): Pest control: the provider's preparation form records that the inspector supplied the list and addressed questions, the customer acknowledged receipt, and the technician acknowledged preparation; it also has a space to explain a missing signature. An example for one provider's initial cockroach service only; its treatment instructions are not transferable guidance and the form does not prove an actual customer received it. (2026-11-04)
