Check the manifest against the scans
Before a route leaves, compare the expected parcel references with scans recorded against the assigned vehicle. Show missing scans and unexpected scans separately, and keep duplicate or unclear references visible for a person to investigate.
The driver still needs to check the physical load. Resolve any discrepancy through the delivery firm's loading process, keeping the scans as part of the record.
Keep an unsuccessful attempt and a dispute distinct
For a failed delivery, record the reason or driver's note, the number of attempts and the options the company permits. If a response from the sender or recipient is needed, prepare a specific question and leave the next step pending until someone with authority decides.
When a parcel is marked delivered but a customer says it did not arrive, collect the available status, time, attempt history and any recorded photo or signature reference. Present the record neutrally and show missing evidence; it does not settle responsibility or a claim by itself.
Reconcile the shift without guessing
For cash on delivery, compare expected amounts and amounts recorded as collected by order with the driver's handover receipt for the same route. A difference needs investigation; it should not be assigned to a person or silently corrected.
Before dispatch, compare assigned vehicles and routes with the status of their pre-route checklists so missing confirmations can be followed up before the van leaves.
Work you can get help with
Illustrative scenario using sample information.
Compare a route manifest with vehicle scans
Compare the parcel references planned for a route with the scans recorded against its assigned vehicle.
- What you provide
- Route and vehicle references, expected parcel list and recorded scan list.
- The useful result
- A load-check summary with matching, missing, unexpected or duplicate references.
- When the task is complete
- The driver or dispatcher has checked the discrepancies and confirmed the load record or recorded the unresolved exception.
- What still needs checking
- A scan comparison does not replace a physical loading check or alter the route.
Prepare the next decision after a failed delivery
Organise the recorded attempt and the company's permitted next options for the dispatcher.
- What you provide
- Order reference, failure reason or driver note, attempt count, permitted options and any relevant response deadline.
- The useful result
- A pending case summary with the known facts, possible options and a draft question if information is missing.
- When the task is complete
- The authorised person has recorded an agreed instruction for the order or the case remains open.
- What still needs checking
- A draft does not reschedule, return or refund the order or authorise a new cost.
Gather the existing record for a disputed delivery
Collect the available delivery status, timestamps, attempt history and proof references into a neutral case summary.
- What you provide
- Order reference, recorded status and time, available photo or signature reference and attempt history.
- The useful result
- A summary of the existing records and any missing proof, for an authorised reviewer.
- When the task is complete
- The authorised reviewer has checked the available evidence and decided or recorded the next claims-handling step.
- What still needs checking
- A delivered status or a photo reference does not by itself resolve the claim or establish responsibility.
Compare cash-on-delivery records with the handover
Group expected and recorded collected amounts by order and compare them with the cash handover receipt for the same route.
- What you provide
- Route and driver alias, expected and collected amounts per order, handover receipt and the owner's comparison tolerance.
- The useful result
- A route comparison and a list of unexplained order or handover differences.
- When the task is complete
- The authorised person has explained and recorded any difference or left it open for investigation.
- What still needs checking
- Do not infer wrongdoing or make an accounting adjustment, deduction or payment from the comparison.
Find missing vehicle-check confirmations
Compare assigned vehicles and routes with the recorded status of their pre-route checklists.
- What you provide
- Vehicle and route references, departure time, checklist status and last confirmation time.
- The useful result
- A list of vehicles with confirmed, missing or unknown checklist records.
- When the task is complete
- The responsible person has confirmed the checklist record or recorded an authorised exception under the company's process.
- What still needs checking
- A missing or completed status is not a mechanical assessment or proof of safety.
Questions you may have
Can I put every failed delivery straight onto the next route?
First check the recorded reason and the company's permitted options. A new attempt, return or additional cost may require an instruction from an authorised person.
Does a delivery photo settle a customer's missing-parcel claim?
It is one piece of the available record. Review the status, time, photo reference and attempt history together, and let the authorised person handle the claim.
What if the cash handed over differs from the order records?
Compare the expected and collected amounts for the same route with the handover receipt. Keep any remaining difference open for investigation rather than assigning blame or changing the accounts.
Can I use route data from my delivery app?
The demo uses sample company data. Ask whether your route source and the delivery workflow you need are available before using live records.
