Find out what is known about cover
For one affected class, record the time, the requirements the studio has set and the availability already reported by people in the approved substitute pool. Separate someone who is available from someone who has accepted the assignment.
A useful handoff shows the options and the missing confirmations. The owner can then agree the cover and follow the studio's process for updating the schedule and informing members.
Check required forms and unconfirmed attendance
For a required form or waiver, identify the required version and the recorded status for the relevant booking. If the version or recipient is unclear, check it before preparing a request.
After a class, a participant still marked 'booked' has an unresolved attendance record. Ask the instructor or responsible staff member to confirm what happened rather than assuming a no-show.
Review equipment issues and failed membership payments
A report that a piece of equipment is broken should identify the item, location and observed issue. If the studio has a reliable equipment-to-class list, use it to show which sessions may need a closer look. A person decides on inspection, repair and the class arrangement.
A failed recurring payment is a separate issue from an existing reservation. Bring the recorded payment and membership statuses alongside upcoming bookings so an authorised person can decide the next step without assuming those bookings were cancelled.
Work you can get help with
Illustrative scenario using sample information.
Find outstanding forms for a booking
Compare the required form version with the recorded status for a booking and prepare a request for review.
- What you provide
- Booking or membership reference, required form version, recorded completion status and verified recipient.
- The useful result
- A list of complete, outstanding and unclear form statuses, with a draft request for a confirmed gap.
- When the task is complete
- The studio has confirmed receipt of the required form or recorded the outstanding item for follow-up.
- What still needs checking
- Use the form version and status; leave its contents for the appropriate person to review.
Review instructor cover for one class
Bring the class requirements and reported availability of approved substitutes into one view.
- What you provide
- Class reference and time, approved teaching requirements, substitute pool and reported availability.
- The useful result
- A list of possible cover options and missing acceptance or owner decisions.
- When the task is complete
- The chosen instructor has accepted and the authorised studio owner has confirmed the cover, or the class remains uncovered.
- What still needs checking
- Availability is not acceptance, and the draft does not assign a shift or change the schedule.
Make an equipment report useful
Organise the reported equipment issue and, where available, the list of sessions using that item.
- What you provide
- Equipment reference and location, observed issue, report time and any reliable equipment-to-session mapping.
- The useful result
- An internal issue summary and a list of potentially affected sessions to review.
- When the task is complete
- The responsible person has reviewed the affected sessions and recorded the inspection or other next step.
- What still needs checking
- A reported fault is not a diagnosis; inspection and repair decisions belong to the studio.
Review a failed membership payment alongside bookings
Put the recorded payment status, membership status and existing reservations together for an authorised person.
- What you provide
- Membership reference, payment and retry status, membership status and existing class bookings.
- The useful result
- A case summary showing what is known about payment and each recorded booking.
- When the task is complete
- The authorised person has checked the payment and booking records and recorded the decision or unresolved issue.
- What still needs checking
- The summary does not retry a payment, issue a refund or cancel a booking.
Find class attendance records that need confirmation
Identify bookings still marked as booked after a class and prepare a question for the responsible instructor.
- What you provide
- Class reference, session end, attendance statuses, the studio's review window and instructor.
- The useful result
- A list of unconfirmed attendance entries and a draft question to the instructor.
- When the task is complete
- The instructor or authorised staff member has confirmed and recorded the attendance outcome, or the entry remains unresolved.
- What still needs checking
- Do not infer a no-show, fee or loss of credit from an unchanged status.
Questions you may have
Does a substitute's availability mean the class is covered?
No. Availability is one input. The instructor needs to accept the specific class and the studio needs to confirm the assignment under its process.
Can an unchanged attendance entry be treated as a no-show?
No. Ask the instructor or responsible staff member to confirm the outcome. Any related fee or credit decision is separate.
Does a failed payment automatically cancel an existing class booking?
Do not assume that it does. Check the actual membership and booking records, then let an authorised person decide the next step.
Can I try this with my studio's class schedule?
The demo uses sample company data. Ask whether your schedule and the instructor-cover workflow can be used before relying on live class information.
