Ask for the view you need
For an interior quote, your checklist might ask for the vehicle size, the customer's description and photos of the seats, footwells and load area. You may need other views for an exterior job.
Compare the customer's message, attachment captions and any existing intake notes with your checklist. Ask for the specific view or detail still missing. Where a photo is unclear, inspect it before relying on the description in the booking record.
Make the package and any change clear
A package name alone may leave room for different expectations. Set out the included work, exclusions, optional extras and the price you have approved, along with any condition attached to the initial quote.
If inspection reveals more work, compare the agreed scope with the newly observed issue. The owner sets the revised price and the customer decides whether to add the work before it begins.
Give the customer an honest account at pickup
The completed-work summary can list the services performed, an agreed limitation and any photos the customer has allowed you to share. Keep the summary tied to what the detailer actually recorded.
If a surface cannot be treated safely, the detailer can pause that checklist item and bring the observation to the owner. The final handoff should reflect the decision, including work left unfinished.
Work you can get help with
Illustrative scenario using sample information.
Collect the information needed for a quote
Compare the customer's request and your list of received photo views with the details your shop requires for that service.
- What you provide
- Vehicle type and size, requested service, description of condition, a list of received photo views, your checklist and the customer's chosen contact channel.
- The useful result
- A quote-preparation pack with missing views or details and a draft request.
- When the task is complete
- The detailer has the required information and has checked it, including by inspecting the car when needed.
- What still needs checking
- The detailer evaluates the car and decides the price; photos alone may not show the full condition.
Set out a package and extras
Turn your approved menu into a clear proposed scope showing included tasks, exclusions, extras and the quoted amount.
- What you provide
- Service menu, package inclusions and exclusions, optional extras, approved price and quote conditions.
- The useful result
- A draft package comparison for the customer conversation.
- When the task is complete
- The scope is agreed when the shop records the customer's decision on the specific package, extras and price.
- What still needs checking
- The owner decides any service or price outside the approved menu.
Prepare a revised quote after inspection
Set the initial quote beside the detailer's inspection notes and show the added work and owner-approved revised price.
- What you provide
- Initial quote, the detailer's written inspection observations and photo references if available, change in scope, proposed price and customer decision status.
- The useful result
- A comparison of the original and proposed work, with the decision still needed.
- When the task is complete
- The change is resolved when the customer accepts or declines the revised scope and the shop records the decision.
- What still needs checking
- The customer decides whether to accept the change before the extra work begins.
Flag a checklist item that cannot be done safely
Capture the detailer's observation and the affected checklist item so the owner can decide how to proceed.
- What you provide
- Service, checklist item, staff observation, available pause option and owner decision.
- The useful result
- An exception note describing the unresolved task and its next owner.
- When the task is complete
- The exception is complete after the owner or specialist decides the safe next step and the decision is recorded.
- What still needs checking
- An unknown surface, chemical or risk of damage requires the detailer to stop and consult the appropriate person.
Prepare the completed-service handoff
Summarise the agreed work, the tasks the detailer recorded as complete and any real limitations before the customer collects the car.
- What you provide
- Agreed scope, completed tasks, recorded limitations, permitted photos and key-handover status.
- The useful result
- A pickup summary and a list of any incomplete work or unresolved concern.
- When the task is complete
- The handoff closes when the shop resolves open concerns and confirms that the vehicle and keys were returned.
- What still needs checking
- A damage concern, disputed charge or missing permission for photos goes to the owner before handoff.
Questions you may have
Can a photo determine the final price?
Photos can help you understand the request. Set your own conditions for an estimate and inspect the vehicle when you need to confirm the actual scope.
How do I handle work that is outside the package?
Describe the additional work and the price you approve, then ask the customer to decide before starting it. Keep that decision with the original scope.
What if a stain or surface cannot be treated safely?
Record the detailer's observation, pause the affected item and decide the next step. Include any agreed limitation in the final customer summary.
