Identify the enquiry and current owner
Use a stable contact or enquiry reference and the actual assignment record. A forwarded message or copied colleague does not necessarily establish ownership. If two records disagree, show both and ask the responsible coordinator to resolve them.
Prepare a useful transfer
Bring the client's current request, confirmed commitments and unresolved questions into the handoff. Keep the original source references so the receiving agent can check details. Do not infer preferences, financial circumstances or suitability that the record does not establish.
Check that the next step happened
Track acknowledgement and the actual next action separately. An accepted handoff can still leave a response overdue. The coordinator can review unanswered commitments without treating message volume as a measure of performance or lead quality.

Can the assistant rank clients by value?
No. This workflow only tracks which agent owns the next reply and which questions are still open.

- First to Claim
The real estate CRM documentation describes notifying a group of agents about a new contact, assigning the contact to the first agent who claims it, and a fallback assignment if nobody claims it.
This is Follow Up Boss's process for a new inquiry. It does not describe the complete handoff of a contact already being handled by one agent to another, or the quality of subsequent service.
