Match the choice to the surface
Identify the room and surface for every approved selection. A colour name without a product reference or finish may be incomplete for your process. Keep unresolved choices as questions and retain the approval source so nobody has to guess which message took precedence.
Make preparation and exclusions explicit
Compare the accepted scope with notes from the site visit. Separate included preparation from work that needs further agreement. The office can prepare a clear question about an extra surface or repair, but the painter must decide what preparation is technically required and how it affects the job.
Track the remaining touch-ups
Keep each snag or touch-up tied to a room, surface and dated note, separating open customer requests from agreed corrections so the final checklist reflects checked work.

Questions you may have
Should the latest message always win?
Only if it contains a clear authorised change. Show conflicting messages and ask the responsible person to resolve them.
Can a photo confirm that a surface is ready?
It can support a site note. The painter still assesses the surface and preparation on the job.

Painting: the contractor's customer form collects the room or area and separate wall, trim and ceiling colors and brands, then asks the customer to affirm their selections.
The form does not itself show a crew handoff, explicit exclusions or version history; the page was read directly over HTTP after the web reader timed out.
