Record the approved change
Record the service reference, original visit time and provider-approved change. Keep requests still awaiting the coordinator's decision separate from confirmed arrangements.
Track each required acknowledgement
Use the contact roles and communication process established by the provider. Record actual responses separately for the worker and other authorised contacts. No reply is an unresolved status, not agreement. Follow the provider's established escalation process where a confirmation is missing.
Reconcile the operational record
Compare the checked arrangement with the schedule and the worker's actual visit record. A revised booking does not prove a visit occurred. The coordinator decides how to address any gap, with clinical and urgent matters handled through the provider's own procedures.

- Caregiver Communication: A Family Update Plan for Home Care Agencies | Caring Village
The vendor presents a visit-change sequence in which a coordinator confirms the caregiver and new time, informs the designated contact, records sending and confirmation, and uses an agreed follow-up method when a response is required.
This is a proposed process and a fictional vendor example, not independent evidence of widespread use. A sending record alone does not mean the family confirmed; a lack of response remains open.
