Identify the appliance on the ticket

Record the appliance reference, make, model and serial number where available. Keep the technician's diagnosis separate from the customer's description of the symptom. If the model plate cannot be read, record that uncertainty and ask for the missing identification rather than matching a part by appearance.

Follow the part through receipt

An order acknowledgement is not a received part. Link the ordered reference to the supplier confirmation, delivery record and the person's physical check. A substitute part needs technical approval. This lets the office distinguish jobs waiting for supply from jobs waiting for a compatibility decision.

Prepare the return visit

Only use dates the office and customer have actually agreed. Bring access details, the part status and unresolved questions into the return-visit brief. If warranty or service-contract coverage is uncertain, route that question through the firm's process instead of promising a free repair.

Questions you may have

Can the assistant choose a substitute part?

It can show the recorded references and differences. A qualified technician or the appropriate manufacturer source must establish compatibility.

What if the customer has two similar appliances?

Use a distinct equipment reference for each and retain the identifiers on every linked job. A shared address is not enough to match a part.
