# Prepare and work with business documents

The document itself is rarely the whole job. You may need to collect the right details, put them into a format someone can use, and check that a number or name has not changed along the way.
Areinum's business tools were rewritten in Rust and can be tested in the platform. They include tools for working with documents, spreadsheets, and presentations. Check which file types and operations are available for the task you want to try.

## Describe the file you need

Start with the purpose and the reader. A customer-facing quote needs a different level of detail from an internal list of open questions, even if both draw on the same project.

Provide the information that must appear, including names, amounts, dates, and any approved wording. If a detail is missing, ask for it to be flagged. A well-formatted file is not useful if it presents an estimate as an agreed price.

1. Name the reader and purpose.
2. Gather the source material and identify the current version.
3. Specify the required format and the information that must appear.
4. Review the result against the sources before sharing it.

## An example: a project change note

Imagine that a customer asks a contractor to add two exterior lights after the original scope was agreed. The owner supplies the original scope, the new request, and a price that has been prepared but not accepted.

An illustrative result is a change note stating the added work, the proposed price, and the fact that approval is still needed. The owner checks the description and amount, then chooses whether to send the note. The example does not claim that a real customer accepted the change.

## Use the right tool for the output

The toolset includes work on common document, spreadsheet, and presentation formats. Code can perform file operations and calculations while the assistant helps turn a request into the appropriate work.

Ask for the result in the format you intend to use. Confirm that the file type and operation are supported in the version you are testing.

## Review the substance as well as the layout

Check the source and version of each important figure, the names of the people involved, and whether the file distinguishes a proposal from an agreement. If the document relies on a calculation, inspect the inputs and units as well as the answer.

For a complex contract, filing, or clinical document, route the material to the person responsible for reviewing it. A prepared file can make the review easier without making the decision for them.

## Questions you may have

### Can I prepare a document from an existing file?

The tools cover several document formats. Confirm the specific file type and the way it can be supplied in the version you are using before starting the task.

### Will the document be ready to send without review?

Treat the result as work to check. Verify names, figures, approvals, and the current version before sharing, particularly when the recipient may rely on it.

### What happens if a figure is missing?

Identify the missing figure rather than filling it with a guess. You can leave a clearly marked question for the person who holds the information and complete the document once it is confirmed.

### Can Areinum replace a professional review?

A prepared draft can organize information for review. It should not be presented as a legal, accounting, or clinical decision by a qualified professional.
