# Review the next step before it affects someone else

An assistant can prepare useful work, but preparation is not the same as making a change. A draft message, a proposed appointment, and a confirmed appointment are three different things.
In the demo, approval cards present actions with an external effect. They give the owner a place to review a proposed action before deciding whether to approve or reject it.

## Read the proposal in business terms

Before approving an action, check the recipient or record, what will change, and the information on which the proposal relies. For a calendar event, that includes the date, time, people, and any conflict. For a message, it includes the addressee and the text.

Ask for clarification when a material detail is missing. A sensible proposal should make uncertainty visible so that you can decide whether to proceed.

## An example: a proposed site walk

In a demo test example, the owner asks to put a site walk on the calendar for Friday at 8. The assistant checks the calendar, flags a conflict with work at Oak Street, and prepares a calendar approval card.

The owner can review that proposal and decide whether the time is appropriate. The example shows the conflict and the proposed action; it does not show a confirmed appointment on a customer calendar.

## Keep four states separate

A prepared action says what the assistant proposes. Approval records the owner decision. An attempt is the system trying to make the change, and confirmation is evidence of the resulting state in the destination.

If an attempt fails or the destination cannot be checked, the result needs further attention. Do not tell a customer that a message was sent or a booking was made merely because a draft was approved.

1. Read the proposed action and its details.
2. Approve, reject, or ask for a correction.
3. Check whether the action was attempted successfully.
4. Verify the resulting record or delivery status when it matters.

## Decide with the evidence in front of you

An approval is most useful when the source and the unresolved question are visible. For a changed project scope, compare the new request with the original agreement before accepting the proposed wording.

The owner retains the decision. The assistant helps prepare the material for that decision; it should not silently turn a recommendation into an external commitment.

## Questions you may have

### Does approval mean an email was delivered?

No. Approval, an attempt to send, provider acceptance, and delivery are different events. Check the status appropriate to the question you need to answer.

### What if the proposed date or amount is wrong?

Reject or correct the proposal before it affects the destination. Check the source that supplied the date or amount so the same mistake is not repeated.

### Can I decline a proposed action?

In the demo, the owner can approve or reject a proposed action through chat or the approvals area. Check the details of a particular workflow before relying on it.

### Does every decision need an approval card?

The approval cards concern actions with an external effect. Reading an answer and approving a proposed change are different activities; apply the review needed for the action.
