# How to organize business documents across email and chat

When a file arrives in a message and the approval arrives somewhere else, saving the attachment is only half the job. You also need to know which version it is, what it relates to, and whether someone actually agreed to it.
Start with one place to record the matter and a short index of its important documents. The original messages remain evidence; the index helps you find the right version and the decision connected to it.

## Collect the documents that answer a real question

Choose one customer, job, or transaction. Gather the documents that establish the scope, price, timing, changes, and approvals for that matter. Record where each original came from and who supplied it.

Use names that distinguish the document type, matter, date, and version. Keep earlier versions when they explain a change, but make it easy to identify the current version. A file named "final-final" tells the next person very little.

1. Name the matter and the decision you need to support.
2. List the relevant files and the channels where the originals arrived.
3. Record dates, versions, senders, and any approval evidence.
4. Mark the current version only after checking which one was agreed.

## An example: two versions of a kitchen quote

A fictional renovation firm receives quote v1 by email and a revised quote v2 in a chat. The customer replies "looks good" without naming a version. Both files have a price, but the later one adds an appliance installation.

Save both versions with their dates and note the customer's reply alongside them. The next step is to ask which version the customer approved. Until that is resolved, the index should say "approval unclear" rather than labeling v2 as accepted.

## Give each matter a small index

The index can be a note, a spreadsheet row, or a record in a work tool. Include a short description, the current candidate version, the original location, and any question about approval. Add a link only if the intended reader has permission to open it.

Revisit the index when a document changes. A newer file is not necessarily the agreed file, and a message containing a file is not necessarily approval of its contents. Preserve the original correspondence when the distinction matters.

## Where Areinum fits

The demo includes files, a general assistant, and tools for working with documents. Its graph indexes metadata and reads selected record text when needed; do not assume it has read every attachment.

A useful request is specific: identify the matter, the versions you have, and the question about them. Confirm the supported file input and output for the task before relying on the demo for that workflow.

## Questions you may have

### Should I put every file into a new system first?

No. Begin by identifying the documents needed for one matter and where the originals live. Move or connect files only when you know what the people using them need and which version should be authoritative.

### How do I know which version was approved?

Look for an approval that identifies the version or its distinctive terms. If the message is ambiguous, ask the customer or decision-maker to confirm before treating a version as accepted.

### Can a summary replace the original document?

A summary can direct someone to the important point, but the original is needed to check the wording and context. Keep a way to find it, especially for prices, scope, dates, and approvals.

### Does Areinum read all attachments automatically?

The demo indexes metadata and reads selected record text. That does not mean it automatically reads or analyzes every attachment.
