# How to hand over active client work before taking leave

Before you leave, the person covering your work needs more than an inbox export. Give them the open items that could move while you are away, the next action for each and the decision they can or cannot make.

## Find the work that may move during your absence

Review the client list, project board, calendar and recent conversations. Include work waiting on a client, supplier or internal decision when the next event might occur during the coverage period. Leave completed work out unless it explains an open dependency.

For each item, record what has happened, what remains uncertain and the date or trigger for the next action. A proposed delivery date should stay labelled proposed; a missing client reply should stay missing.

## Write an action a cover person can actually take

Replace ‘follow up with the client’ with a clear condition and action. For example, tell the cover person when to check for a decision and where to find an approved reminder, if that is within their authority.

State which routine actions the person may take and what requires escalation. Give a named, available contact and the trigger, such as a new scope request or changed supplier charge. Confirm access to each source before leave begins.

1. List each open item and its current state.
2. Name the cover person, next action, trigger and source.
3. Confirm decision limits, escalation contacts and when responsibility returns.

## A fictional two-week cover brief

In the fictional brief, Juniper Works has received a revised proof but has not confirmed it. The client coordinator may use an approved reminder; a request to change scope or price goes to Noah, the acting account lead. A separate supplier slot remains unapproved by the client, and a monthly report awaits a finance check.

The example assumes Noah and Ellis are available during the stated coverage period. Those people, client names, dates and availability are fictional. Replace them with confirmed contacts and your team's actual time zone before use.

## Review before leave and reconcile on return

Walk the cover person through the highest-priority items and ask them to open the cited records. Fix missing context while the regular owner is still available. Keep the brief focused on the temporary period rather than attempting to transfer every account permanently.

On return, review what changed, record any decisions with their sources and agree who owns each remaining action. Do not assume all items are in the state they were when leave began.

## Prepare the cover brief with Areinum

Areinum Assistant can help arrange the open work, dates and source references you provide into a cover brief. The people involved still confirm access, availability, authority and the return of ownership.

## Questions you may have

### Should the cover brief include completed work?

Only when it explains a dependency or decision relevant during the absence. Focus on items that may need attention.

### Does writing a person's name in the brief delegate authority?

No. Confirm the scope of their authority and their availability with the people responsible.

### What happens when the regular owner returns?

Review the changes made during leave and explicitly agree who takes each remaining action.

The original poster describes a customer changing specifications during production and a separate invoice and purchase-order question that stalled because an earlier approval had been verbal and undocumented. This is a historical, unverified account from one poster in metal fabrication. Google says files in a shared drive belong to the team and remain there when a member leaves, subject to the documented membership, access, and administrator rules. This documents Google Shared Drives only. It does not assign work, confirm that a successor has access, or guarantee a complete handoff. (2026-10-18)

## Temporary Client Work Cover Brief

All client aliases, work items, dates, roles, and decisions in the worked example are fictional.

| Work item | Client alias | Current state | Next action and trigger | Due or decision window | Cover owner role | Allowed action | Escalate when | Escalate to | Source location | Resume owner role | Coverage period | Ownership resumes |
| --- | --- | --- | --- | --- | --- | --- | --- | --- | --- | --- | --- | --- |
| Proof review | Juniper Works | Client has the revised proof and has not confirmed it. | Check for approval by 2026-11-04 at 12:00 in the team time zone, then send the approved reminder. | 2026-11-04 at 12:00 in the team time zone | Client coordinator | Send the approved reminder using confirmed facts. | Client requests a scope or price change. | Noah, acting account lead; available throughout the coverage period | Project folder, proof review record | Account lead | 2026-11-02 to 2026-11-13, fictional | 2026-11-16, confirm with returning owner |
| Supplier booking | Northline Studio | Supplier has held the proposed slot, but the client has not approved it. | Check client reply by 2026-11-06 at 09:00 in the team time zone before confirming the booking. | 2026-11-06 at 09:00 in the team time zone | Operations coordinator | Ask Noah, the acting account lead, whether to extend the hold. | Supplier changes the quoted amount or deadline. | Noah, acting account lead; available throughout the coverage period | Supplier quote and client decision note | Account lead | 2026-11-02 to 2026-11-13, fictional | 2026-11-16, confirm with returning owner |
| Monthly report | Maple Ridge Design | Draft is complete and awaiting a finance check. | Send the draft to Ellis, the acting finance reviewer, by 2026-11-10 and record the review date. | 2026-11-10 | Project coordinator | Share the draft with the named internal reviewer. | A source figure is missing or conflicts with the approved report. | Ellis, acting finance reviewer; available throughout the coverage period | Reporting folder, current draft | Reporting lead | 2026-11-02 to 2026-11-13, fictional | 2026-11-16, confirm with returning owner |

1. Use one row for each open client item that could need attention during the absence, and replace the fictional aliases with approved internal labels.
2. Write the next action as an observable event with a date or trigger. Link to the current source and confirm the cover owner can open it.
3. Record the scope of permitted action and the escalation condition. Confirm temporary coverage and the return owner with the people involved.
4. Noah and Ellis are fictional contacts assumed available for this coverage period. Replace them with confirmed available contacts and set the actual team time zone before use.

### Limits of this method

- The leave scenario is based on one historical Reddit account whose identity and representativeness are unverified; it is an illustration, not measured demand.
- Google's Shared Drive documentation covers file ownership and access. It does not perform the task handoff or establish decision authority.
- This brief covers temporary absence. Permanent responsibility transfers and a single project moving to a new lead need their own records.
