# AI for wellness centres: reconcile a package across service providers

A package includes sessions with several providers. One provider reports a completed appointment, another has only a booking, and the centre's package record counts both. The customer needs an explanation based on confirmed use.
For a non-medical package, compare each provider's confirmed use with the centre's package record. AI can organise the administrative data you may share and expose different status meanings, even when providers keep separate systems.

## Illustrative example (fictional)

The owner's request: Which sessions are confirmed as used?

Information provided:
- Fictional package WC-2: provider A confirms one completed session.
- Provider B records one booking with no attendance outcome.

Example result: One completed session is confirmed. Provider B's booking needs an outcome check before being counted as use.

The next step: The coordinator requests the permitted attendance status and reconciles the package.

## Define the package's administrative record

List the accepted services and the reference used by each provider. Establish which fields the centre needs to reconcile use, keeping unrelated personal or treatment notes out. A common package does not automatically grant access to every provider's records.

## Compare confirmed service use

Distinguish bookings, completed appointments and cancellations using each provider's actual status. If labels mean different things, ask for clarification before adding totals. The assistant should not equate 'closed' with 'attended' without an agreed definition.

## Keep the settlement decision separate

Prepare the checked usage record and any outstanding question for the person managing the package. Provider settlement, refunds and customer entitlement may follow different agreements. The comparison supports those decisions but does not create a right to charge or share further data.

## Work you can get help with

Illustrative scenario using sample information.

### Define the package's administrative record

What you provide: Accepted package, provider references and permitted status fields.
The useful result: A limited reconciliation sheet for the package.
When the task is complete: The centre and providers confirm the appropriate administrative references.

### Compare confirmed service use

What you provide: Provider status records and agreed definitions.
The useful result: A cross-provider list of confirmed uses and uncertain entries.
When the task is complete: The responsible people resolve the status differences.

### Keep the settlement decision separate

What you provide: Checked use, supplied agreements and unresolved entries.
The useful result: A package review with separate customer and provider questions.
When the task is complete: The authorised people record the agreed balance and any settlement decision.

## Questions you may have

### Does a package permit sharing all provider notes?

No. Use only the data the relevant parties are authorised to share for this purpose.

### What if the centre provides medical services?

Use a separately reviewed healthcare process. This page does not cover clinical records, treatment decisions or medical billing.

## Sources and further reading

- [Packages FAQs](https://jane.app/guide/packages-faqs): Jane documentation describes a package usage report filterable by staff member, among other criteria, and remaining sessions visible in the client profile and at an appointment. UNKNOWN whether the process includes settling package use among independent businesses rather than staff in one team. Some source examples concern clinical services; the planned guide remains limited to non-medical services. (2026-11-04)
