# AI for self-storage: keep a unit transfer clear

A customer has agreed to move to a larger unit. The office has updated the new unit's record, but the old unit's record does not yet confirm that it is empty. The two rentals need to be checked together as one transfer.
Use AI to link the old and new units, the accepted transfer date and the actual handover records. Staff can see which part is unfinished before reviewing billing. Access and property decisions stay with the facility's normal process.

## Illustrative example (fictional)

The owner's request: Is this unit transfer complete?

Information provided:
- Fictional transfer SS-5: new unit 22 handed over.
- Old unit 11 has no recorded return or empty check.

Example result: The new-unit handover is confirmed. The old unit remains unresolved, so the transfer cannot be treated as fully closed.

The next step: Staff follow the facility's return process and check the related records.

## Identify the agreed transfer

Record both unit references, the accepted effective date and the customer's confirmed arrangement. Keep an enquiry about a larger space separate from an agreed move. A unit appearing available in a list does not establish that staff have checked it for handover.

## Check the handover statuses

Track the new unit's handover and the old unit's return separately. Do not infer that belongings were moved because access was issued. Record the customer's report and staff checks according to the facility's procedure.

## Prepare the billing question

Compare the checked dates with the applicable agreement and billing entries. A possible overlap needs review rather than automatic cancellation or refund. The assistant can show the record behind the question without changing access or taking action against stored property.

## Work you can get help with

Illustrative scenario using sample information.

### Identify the agreed transfer

What you provide: Old/new unit IDs, accepted transfer and checked availability.
The useful result: A transfer brief with unconfirmed dates or units.
When the task is complete: Staff confirm the actual transfer arrangement.

### Check the handover statuses

What you provide: Handover records, customer response and staff checks.
The useful result: A status list for both units.
When the task is complete: The facility confirms the actual handovers or keeps the remaining item open.

### Prepare the billing question

What you provide: Verified dates, supplied terms and billing records.
The useful result: A billing comparison for authorised review.
When the task is complete: Staff record the reviewed adjustment or explanation and verify its outcome.

## Questions you may have

### Can the assistant cancel access to the old unit?

Not from this comparison. Access changes require the facility's authorised procedure.

### Does this decide what happens to uncollected property?

No. That requires the applicable agreement, law and authorised human process.

The billing and transfer options apply to this tool; they do not establish general contract terms or storage unit access rules. (2026-11-04)
