# AI for roofers: check the materials behind the agreed job

The supplier order was prepared from an earlier roof measurement. Since then, the customer has changed the selected finish and the estimator has revised one area. The office needs to know which decisions have reached the order.
Before placing the order, use AI to trace each material line back to the measurement and selection it came from. Your estimator checks quantities and technical suitability; the comparison helps the purchaser find the decisions that have not reached the order.

## Illustrative example (fictional)

The owner's request: Is this roofing order based on the current selection?

Information provided:
- Fictional job R-6: customer approved finish Slate B on selection revision 2.
- Draft order O-6 still lists Slate A. The estimator has not reviewed measurement revision 3.

Example result: The finish differs from the approved selection. The measurement revision also needs review, so the comparison cannot establish that the quantities are ready to order.

The next step: The purchaser corrects the selection after checking the record and asks the estimator to approve the measurement basis.

## Trace the measurement version

Compare the roof measurement version used for the accepted estimate against any newer report, listing what changed and whether the estimator has signed off on it before the material order is placed.

## Check the selected materials

Compare the customer's recorded selection with the product references on the order. Include the variants that matter to the job, such as the agreed finish, without inferring compatibility from a similar name. Keep missing decisions separate from incorrect entries so the purchaser knows whether to ask or correct.

## Record the purchasing decision

A checked draft still needs an authorised purchasing decision. Attach that decision to the exact order version and preserve later supplier substitutions as separate changes. The resulting record should help the office explain why an item was ordered without reconstructing the conversation from several inboxes.

## Work you can get help with

Illustrative scenario using sample information.

### Trace the measurement version

What you provide: Measurement versions, accepted estimate and review status.
The useful result: A version comparison identifying the measurement used by each document.
When the task is complete: The estimator confirms the measurement basis for the order.

### Check the selected materials

What you provide: Approved selections, product references and draft order.
The useful result: A line-by-line list of selections that match or need clarification.
When the task is complete: The purchaser and estimator resolve the discrepancies before ordering.

### Record the purchasing decision

What you provide: Checked order version, approval and supplier changes.
The useful result: An order handoff with approved lines and open substitutions.
When the task is complete: The authorised person confirms the order and records any remaining exception.

## Questions you may have

### Will the assistant calculate a safe material quantity from photos?

This workflow compares recorded information. The estimator remains responsible for measurements, allowances and the technical basis of the order.

### Does checking a material order also approve later changes to the agreed work?

This check happens before purchasing and focuses on the material order. Later changes to agreed work need their own scope and approval record.

## Sources and further reading

- [Takeoff Service Request Form | Roofers Mart](https://roofersmartinc.com/commercial-roofing-services-and-more/takeoff-service-request-form/): Roofing: the supplier requests project drawings, exterior components and other project details for a quantity takeoff, then directs customers to build a complete materials order with a sales representative. The takeoff gives quantity measurements rather than a complete material list; the source does not demonstrate reconciliation against a customer's approved quote. (2026-11-04)
