# AI for plumbing, HVAC and electrical businesses

A plumber is returning to a building where your company replaced a valve last year. The technician needs the previous work and part details, while the office needs to know whether today's customer has agreed to the extra work found on site.
Areinum Assistant can help bring the equipment history, recorded parts and current request you provide into a job summary. Your qualified tradesperson assesses the installation, and you and the customer agree any change in work.

## Illustrative example (fictional)

The owner's request: What do we know about this unit before the technician leaves?

Information provided:
- Fictional service address S-12 has an air-handling unit recorded as model AH-4, serial 3812.
- A dated service note for serial 3812 records a filter change. A second note has the same address but no equipment identifier.

Example result: The confirmed record for serial 3812 shows a previous filter change. The second note cannot yet be tied to that unit.

The next step: The technician checks the equipment label and the unassigned note before relying on it. The technician decides what work is needed.

## Give the technician the right history

Start with the service address and the equipment or installation identifier. If the model and serial number were recorded, include them with dated work notes and parts used so the technician can distinguish one unit from another.

When an equipment label is unreadable or a past visit cannot be matched confidently, show the gap. The technician can verify the equipment on site instead of relying on a guessed history.

## Write down the work the technician actually did

For a plumbing call, the useful record might identify the fixture, the work approved and the valve or fitting used. For HVAC, it might identify the unit and the technician's recorded service. For electrical work, use the actual circuit or equipment details recorded by the qualified person.

Afterwards, prepare a customer report from the technician's confirmed notes and any photos the customer has permitted. Technical recommendations and any change in scope remain with the tradesperson and owner.

## Keep parts and extra work tied to the job

Record the part code, quantity and source vehicle or store against the job. The office can compare these entries with the agreed terms before preparing a billing note.

If the technician finds work outside the approved scope, put the original agreement beside the proposed addition and your price. Ask the customer to decide before the extra work starts, and keep the decision with that version of the job.

## Work you can get help with

Illustrative scenario using sample information.

### Prepare a service report

Organise the technician's confirmed notes against the approved job scope and identify anything needed before the customer report is ready.

What you provide: Job reference, approved scope, technician notes, customer-permitted photos and confirmed follow-up work.
The useful result: A draft service report and a list of missing or unconfirmed entries.
When the task is complete: The technician or owner approves the facts and gives the report to the customer after resolving the open questions.
What still needs checking: A technical recommendation must come from the qualified person who assessed the job.

### Find the confirmed history of equipment

Bring together the supplied service records for the identified unit, including dates, prior work and recorded parts.

What you provide: Service address, equipment type, confirmed make, model or serial number and available dated history.
The useful result: A history summary linked to the records provided, with any identification gap visible.
When the task is complete: The history is ready for the visit when the responsible person confirms the equipment match and resolves conflicting records.
What still needs checking: An unreadable serial number or uncertain match stays unknown until the technician checks it.

### Connect a used part to its job

Organise the technician's part and quantity entries for the job so the office can review the material cost.

What you provide: Job reference, part code, quantity and unit, source vehicle or store if tracked, and technician confirmation.
The useful result: A material-use note and a list of missing codes or quantities. Warranty details remain unknown unless supplied.
When the task is complete: The technician confirms the part and quantity for the job, and the owner approves any customer charge.
What still needs checking: The owner approves any new customer charge before the invoice is changed.

### Prepare an extra-work decision

Compare the original authorised work with the technician's description of additional work and the price approved by the owner.

What you provide: Job reference, original scope, technician's description, owner-approved addition and price, and customer decision status.
The useful result: A clear proposed change for the customer conversation.
When the task is complete: The change is resolved when the customer accepts or declines the specified scope and price and the decision is recorded.
What still needs checking: The customer decides on the additional work; the assistant does not invent a diagnosis or start the work.

### Review a low-stock part

Compare a recent count with the business's approved minimum and prepare the information needed to consider replenishment.

What you provide: Vehicle or store, part code, dated count, approved minimum and supplier details if confirmed.
The useful result: A low-stock review with the count, threshold and missing purchasing details.
When the task is complete: The stock entry closes when the approved replenishment is received and checked. If the owner decides not to order, record that decision and keep the low-stock status visible.
What still needs checking: A stale count or unknown threshold needs checking; an authorised person approves a new purchase.

## Questions you may have

### Does this also apply to a plumbing business?

Yes. Use your own job and equipment records, such as a fixture, valve or pump, along with the work the plumber has actually recorded.

### Can it diagnose the fault from the history?

The history can help the technician prepare for the visit. A qualified tradesperson inspects the installation and determines the fault and recommended work.

### What happens when a part has no job reference?

Keep the part entry open and ask the technician or office to identify the correct job before using it in a customer charge.

### Can I try this with our service records?

The demo uses sample company data. Ask about access and the availability of a specific workflow before planning to use your own records.
