# AI for house cleaning: separate the first visit from the regular clean

A customer booked an initial clean with inside cupboards included. The recurring job card still carries that instruction, although the ongoing agreement covers only external surfaces. Unless the office separates the two, the crew may repeat work that was never included in the regular price.
The first clean and the regular service need different job cards. AI can compare the two agreements and draft the instructions for the visit you are actually scheduling, including any household preferences already recorded.

## Illustrative example (fictional)

The owner's request: Which checklist should the crew use on Friday?

Information provided:
- Fictional home H-4: initial clean includes cupboard interiors.
- The accepted fortnightly plan excludes cupboard interiors; no later change is recorded.

Example result: The accepted fortnightly plan excludes cupboard interiors. If Friday is a regular fortnightly visit, use the recurring checklist without cupboard interiors; if the customer wants them cleaned on Friday, confirm it as an extra.

The next step: The office confirms the correct job card and discusses any new request with the customer.

## Split the first and recurring scope

Mark which tasks belong only to the first visit and which recur. Record exclusions in the same place as the included work, with the customer's accepted version attached. A vague instruction such as 'same as last time' should lead back to that agreement rather than replace it.

## Keep household preferences usable

Record the preferences your team has agreed to follow, such as a room to leave untouched or a customer-supplied product. Distinguish preferences from technical instructions and make sure the crew can ask about uncertainty. Access credentials belong in the firm's controlled access process, not in a broadly shared cleaning summary.

## Review a reported missed task

A report that a room was not cleaned needs context. Compare the checklist, crew note and customer's message to identify whether the task was omitted, inaccessible or outside scope. Prepare a factual response and leave any revisit or charge to the person authorised to agree it.

## Work you can get help with

Illustrative scenario using sample information.

### Split the first and recurring scope

What you provide: Initial-clean agreement, recurring scope and dated changes.
The useful result: Separate checklists for the first clean and the regular service.
When the task is complete: The office confirms which checklist applies to the next visit.

### Keep household preferences usable

What you provide: Approved preferences, access status and the responsible contact.
The useful result: A short visit brief with preferences and unresolved access questions.
When the task is complete: The supervisor checks the instructions and confirms the access arrangement.

### Review a reported missed task

What you provide: Visit checklist, crew record and customer report.
The useful result: A discrepancy summary and draft response for the office.
When the task is complete: The office records the agreed resolution or keeps the case open.

## Questions you may have

### Can I reuse the office-cleaning guide?

The scope comparison is useful, but household preferences and the difference between an initial and recurring clean need their own instructions.

### Does a prepared message book a revisit?

No. The office must agree the resolution and record the actual appointment through its normal process.
