# AI for bakeries and caterers: turn requests into clear orders

A cake request comes in over the phone, a decoration idea arrives in a message, and the pickup time is written on a sheet by the till. Before anyone promises the order, those details need to describe the same cake on the same day.
For a bakery or caterer, Areinum Assistant can help prepare an order card, production list or event handoff from the information supplied. A person still confirms the order, capacity and anything that is unclear.

## Fictional example

The owner's request: Put these cake messages into one order card and tell me what I still need to confirm.

Information provided:
- Fictional request: a vanilla cake with blue decoration for pickup on Saturday at 10:00.
- A later message says the customer wants it for a birthday but does not state the size or number of servings.

Example result: Draft card: vanilla cake, blue decoration, Saturday pickup at 10:00. Missing: size or servings. Draft question: 'How many servings do you need?' Price and order acceptance are not recorded.

The next step: The baker checks capacity and any dietary questions with the customer, confirms the details and decides whether to accept the order.

## Put the custom order on one card

Record the type of bake, size or servings, decoration, date and pickup or delivery window. If the customer's messages give different dates, show both and ask for a decision rather than selecting the newest one automatically.

Keep each unanswered question beside the details already recorded, and do not treat the draft as an accepted order or a quote.

## Build production from confirmed orders

For the day's production list, group confirmed orders by product, quantity and collection window. Keep cancelled and unconfirmed requests separate, and check duplicates before the kitchen relies on the totals.

To estimate ingredient needs, use the approved recipes, yields, current stock and known incoming deliveries. A missing yield or conversion leaves a gap in the calculation; it is not a reason to invent a substitute or place a supplier order.

## Give the kitchen an event handoff

For catering, combine confirmed menus, quantities and event dates with stock, supplier pack sizes, delivery days and ordering cutoffs. Preserve which event creates each requirement so the person buying can see the effect of a change.

A useful event card also records the site, access window, setup and equipment. If a client changes the menu or access time, the kitchen needs the updated decision before treating the card as final.

## Work you can get help with

Illustrative scenario using sample information.

### Complete a custom cake request

Organise the customer's messages into a draft order card and identify the details that still need confirmation.

What you provide: Cake type, size or servings, decoration, date, pickup or delivery window and the contact in the existing record.
The useful result: A draft card with known details, conflicts and a specific question for each gap.
When the task is complete: The bakery and customer have confirmed the required order details and the bakery has accepted the order, or the request remains open.
What still needs checking: A draft is not a confirmed order or price; allergy questions require the bakery's own review.

### Prepare the daily production list

Group confirmed bakery orders by product and collection window, keeping unconfirmed and cancelled requests apart.

What you provide: Confirmed orders, product or SKU, quantity, date, collection window and status.
The useful result: A production list with quantities by product and time, plus exceptions for duplicates or unclear orders.
When the task is complete: The bakery has checked the order statuses and quantities and resolved or separated the exceptions before using the list.
What still needs checking: Do not include an unconfirmed order in the production total as though it were accepted.

### Check ingredients for confirmed production

Compare the approved production quantities with known recipes, yields, stock and incoming deliveries.

What you provide: Confirmed production quantities, approved recipes and yields, current ingredient stock, unit conversions and incoming deliveries.
The useful result: A draft ingredient requirement and shortage list, with missing inputs identified.
When the task is complete: The kitchen has checked the quantities and availability and the authorised buyer has decided what to purchase.
What still needs checking: Do not guess a recipe, yield, conversion or substitute, or place a purchase order.

### Combine ingredient needs across events

Bring the requirements for confirmed events together by supplier while preserving their event references and delivery dates.

What you provide: Event references and dates, confirmed menus and headcounts, approved recipes and portions, stock, pack sizes, minimums, delivery days and cutoffs.
The useful result: A supplier-by-supplier draft list with quantities, timing and linked events.
When the task is complete: The authorised buyer has checked the event requirements and supplier terms and approved the order, or recorded the unresolved items.
What still needs checking: Unconfirmed menus, headcounts or delivery terms remain open; the list does not create a purchase.

### Prepare the kitchen's event card

Collect the confirmed operational details for one event and show what still needs an answer.

What you provide: Event date and access window, venue, confirmed menu and quantities, setup, equipment and operational notes.
The useful result: A kitchen handoff card with confirmed details and a list of gaps.
When the task is complete: The kitchen has reviewed the current card and the responsible person has resolved or assigned each open item.
What still needs checking: A changed menu, quantity, date or access arrangement needs a fresh check.

## Questions you may have

### Can an incomplete cake request go on the production list?

Keep it separate until the bakery has confirmed and accepted it. That way the kitchen can distinguish a request from work it has agreed to produce.

### Can the assistant decide whether a cake is suitable for an allergy?

No. The bakery must check the relevant ingredients, preparation details and customer request through its own process. Do not infer suitability from a short order note.

### How can a caterer see which event needs an ingredient?

Keep the event reference attached to each quantity before combining the supplier list. If an event changes, the buyer can see which requirement needs another review.

### Can I try this with my bakery's real orders?

The demo uses sample company data. Ask whether your order information and the production workflow you need are available before using live orders.
